Job Summary
Gulliver Preparatory School is seeking to hire an Administrative Assistant to the Director of Enrollment Management for the upcoming school year. This position will be responsible to assist the Director of Enrollment Management with daily tasks by carrying out a range of complex and routine administrative and secretarial responsibilities. Given the sensitive and confidential nature of certain documents, this position requires discretion, sound judgment, tact, and professionalism.
Responsibilities include but are not limited to:
- Coordinate and manage the Director's calendar, including scheduling meetings, telephone conferences, tours, seminars, and events.
- Assist the Director with event planning, which involves scheduling, securing locations, processing necessary paperwork, contacting caterers, and coordinating with the activities office, maintenance department, IT department, and outside vendors (if applicable).
- Receive and prioritize telephone calls for the Admissions office and the Director.
- Manage the department's budget and keep the Director informed of any significant expenses.
- Create purchase orders for invoices related to event expenditures.
- Order promotional items ("swag") for open houses and gifts for testing students.
- Respond to inquiries via email about admissions and schedule student interviews.
- Upload all documents for new applicants, such as transcripts, test scores, recommendation letters, and psychological evaluations.
- Help Admissions Liaisons with filing and processing new applicant files for distribution to PR/LS/MS registrars and other related admissions functions.
- Perform additional duties as assigned, including covering the receptionist desk when needed.
Qualifications & Requirements
- High School Diploma or equivalent, Bachelor’s Degree highly preferred.
- 4-5 years’ experience, preferably in an educational environment.
Knowledge, Skills, & Abilities
- Demonstrated written and oral communication skills, Spanish a plus.
- Demonstrated ability to work independently and as a team. Familiarity with Microsoft Office and Google Suite.
- Knowledge of general office machines and telephone systems.
- High degree of discretion dealing with confidential information.
Pre-Employment Requirements
Criminal Background Check, Level II Fingerprint Screening and Drug Screen.
